Terms of Service.

Effective September 4, 2026. Draft published for provider app verification; subject to counsel review. The signed subscription agreement between Koletta and an Agency governs where the two differ.

1. The service

Koletta provides hosted software that helps commercial collection agencies ("Agencies") manage accounts, correspondence and workflow. Access is by subscription under a signed agreement. These terms apply to every user an Agency authorizes.

2. Accounts and access

Each user must keep their credentials and multi-factor device private and use only the access their Agency assigned. An Agency is responsible for the people it invites and for removing them when they leave.

3. Agency data

The Agency owns the data it loads into its workspace and warrants that it has the right to process it and to contact the people in it. Koletta processes that data only to provide the service, as described in the Privacy Policy.

4. Connected mailboxes

A user who connects a Microsoft or Google mailbox authorizes Koletta to send mail as that mailbox and to read its inbox for replies to collection correspondence, and confirms they are permitted to grant that access. Access can be revoked at any time at the provider; letters already sent remain in the mailbox's Sent folder.

5. Acceptable use

The Agency is responsible for the content of every letter and message it sends and for complying with the laws that govern its collection activity. The service may not be used to send unsolicited bulk mail, to contact a person the law says may not be contacted, or to store data the Agency has no right to hold.

6. Availability and support

Koletta aims for continuous availability but does not guarantee it. Support is provided by email during business hours. Planned maintenance is announced in advance where practical.

7. Fees

Fees are set in the subscription agreement and billed monthly in advance. Access may be suspended for non-payment after written notice.

8. Termination

Either party may terminate under the subscription agreement. On termination the Agency may export its data for 30 days, after which it is deleted as described in the Privacy Policy.

9. Warranties and liability

The service is provided as is. To the extent permitted by law, Koletta's total liability under these terms is limited to the fees paid in the twelve months before the claim, and neither party is liable for indirect or consequential loss.

10. Changes and contact
